Invite team members, assign roles, and manage workspace settings

Your workspace is where you and your team collaborate on marketing automation. You can invite team members, assign roles with different permissions, and manage how your team works together in ConvertMate.

Accessing workspace settings

To manage your team:

  1. Click Settings in the left sidebar
  2. Select Workspace & team from the menu
  3. You'll see your current team members and workspace details

Inviting team members

To add someone to your workspace:

  1. Click Invite team member
  2. Enter their email address
  3. Select a role (Owner, Admin, Editor, or User)
  4. Add an optional welcome message
  5. Click Send invitation

They'll receive an email with instructions to join. If they don't have a ConvertMate account, they'll create one during the invitation process.

All plans include unlimited team members at no extra cost.

Understanding roles

ConvertMate has four role levels:

Owner - Full access to everything including billing, team management, and workspace deletion. There can only be one owner per workspace. Admin - Can manage team members, change billing settings, and access all features except transferring ownership or deleting the workspace. Editor - Can run agents, connect platforms, create workflows, and manage content. Cannot access billing or invite team members. User - Can view data and execution results but cannot run agents or make changes. Good for stakeholders who need visibility without execution permissions.

Changing team member roles

To update someone's role:

  1. Find them in the team members list
  2. Click the three-dot menu next to their name
  3. Select Change role
  4. Choose the new role
  5. Confirm the change

Role changes take effect immediately. The person doesn't need to log out and back in.

Removing team members

To remove someone from your workspace:

  1. Find them in the team members list
  2. Click the three-dot menu
  3. Select Remove from workspace
  4. Confirm the removal

Removed members lose access immediately but their historical work (execution history, workflows they created) remains in the workspace.

Transferring ownership

Only the current owner can transfer ownership:

  1. Go to Settings → Workspace & team
  2. Find the person you want to make the new owner
  3. Click Transfer ownership
  4. Confirm you understand this cannot be undone without the new owner's cooperation

After transfer, you become an admin. The new owner has full control including the ability to remove you.

Managing pending invitations

Invitations expire after 7 days. To manage pending invites:

View pending invitations - See who you've invited but hasn't joined yet. Resend invitation - Send the invite email again if they didn't receive it. Cancel invitation - Revoke an invitation before they accept it.

Workspace settings

Beyond team management, you can configure:

Workspace name - Change how your workspace appears to team members. Default timezone - Sets the timezone for scheduling and reporting. Affects when scheduled workflows run. Notification preferences - Control default notification settings for new team members. Workspace avatar - Upload a logo or image that represents your workspace.

Team activity monitoring

Admins and owners can view team activity:

  • Who ran which agents and when
  • Credit usage by team member
  • Platform connections each person created
  • Workflows created by each member

This helps with accountability and understanding how your team uses ConvertMate.
