Finding the right person to contact is crucial for successful outreach. ConvertMate automatically identifies relevant contacts for each source, prioritizing article authors and content decision-makers.
How contact finding works
When you request contacts for a source, ConvertMate follows a smart search strategy:
- Look for the article author - The page is analyzed for author information in structured data (Schema.org markup, meta tags). Authors are the best contacts because they wrote the content you want to be included in.
- Search by author name - If an author is found, the system searches for their verified contact information using their first name and the company domain.
- Search by job role - If no author is found (or no verified contact exists for them), the system searches for people with relevant roles at the company: content managers, editors, marketing managers, SEO specialists.
- Select the best match - From all potential contacts found, the one with the highest relevance score is selected as the primary contact.
Contact finding costs
Contact finding is included in your discovery cost. You don't pay additional credits to find contacts for discovered sources.
Initiating contact search
Single source
- Go to Outreach → Sources
- Click on a source in "Discovered" status
- Click Find contact
Multiple sources
- Go to Outreach → Sources
- Check the boxes next to sources you want to process
- Click Find contacts in the toolbar
The search typically takes 10-30 seconds per source.
Contact selection priority
ConvertMate prioritizes contacts based on their role relevance:
- Article author (highest priority) - They wrote the content and can directly edit it
- Content/Editorial roles (high priority) - Editors, content managers, writers handle content decisions
- SEO roles (high priority) - SEO specialists often manage link building requests
- PR/Communications (medium priority) - May handle brand mentions and partnerships
- Marketing roles (medium priority) - Sometimes handle content partnerships
- Leadership at small companies (lower priority) - Decision makers but may delegate
Understanding contact results
When a contact is found, you'll see:
- Name - Full name
- Job title - Their role at the company
- Email - Verified email address
- Seniority - Level in organization (Director, Manager, Senior, etc.)
- Company - Company name
- Company size - Approximate employee count
- LinkedIn - Profile URL when available
Contact source indicators
The source indicates how the contact was found:
- Author - Found from the page's author information
- Role-based - Found by searching for relevant roles at the company
When no contact is found
Sometimes no suitable contact can be found. This happens when:
- The website has no public team information
- No one with relevant roles could be identified
- Contact information couldn't be verified
Sources marked "Contact not found" can be:
- Skipped if you don't want to pursue them
- Left in your pipeline in case you want to research manually
Contact caching
ConvertMate maintains a contact database to improve efficiency:
- Contacts are cached for 30 days
- If you discover another article from the same domain, cached contacts may be reused
- This reduces lookup time and improves accuracy
Multiple contact candidates
In some cases, multiple potential contacts are found. The system automatically selects the best match, but you can see all candidates in the source details and manually select a different one if needed.
Best practices
Trust the selection - The automatic selection prioritizes authors and content roles, which typically have the highest response rates for link building. Check LinkedIn profiles - When a LinkedIn URL is provided, a quick review can help you personalize your outreach. Consider company size - At smaller companies (under 50 employees), leadership roles may actually handle content decisions. At larger companies, focus on specialized content roles. Process sources promptly - Contact information changes over time. Process your discovered sources within a few weeks for best results.What's next
