Managing outreach sources

Learn how to organize and manage your outreach sources effectively

Sources are the websites and articles you've identified as potential link building opportunities. Sources can come from automated discovery or be added manually. The sources page is your central hub for managing your outreach pipeline.

Accessing your sources

Go to Outreach → Sources to see all your outreach sources organized by discovery.

View your sources

Understanding source statuses

Each source moves through different stages:

  • Discovered - Source found, ready for contact finding
  • Contact searching - Currently searching for contacts
  • Contact found - Contact identified, ready for email generation
  • Contact not found - Search completed but no suitable contact found
  • Email generating - Email sequence being created
  • Email generated - Emails ready to review and send
  • Sent - Email sequence is being delivered
  • Replied - Contact responded to your outreach
  • Converted - Successfully secured a link or mention
  • Skipped - Manually marked as not pursuing
  • Failed - An error occurred during processing

Source information

Each source displays:

  • Page title - The title of the discovered article
  • URL - Link to the source page
  • Domain - The website domain
  • Discovery topic - Which topic from your discovery matched this source

When a contact is found, you'll also see:

  • Contact name and job title
  • Company name and size (when available)
  • LinkedIn profile link (when available)

Working with sources

Finding contacts

For sources in "Discovered" status:

Single source: Click the source row to expand details, then click Find contact. Multiple sources: Use the checkboxes to select sources, then click Find contacts in the toolbar.

Contact finding costs no additional credits - it's included in the discovery cost.

Generating emails

Once you have a contact:

Single source: Expand the source details and click Generate emails. Multiple sources: Select sources with contacts, then click Generate emails in the toolbar.

Email generation costs 10 credits per source.

Skipping sources

If a source isn't a good fit:

  1. Click the source to expand it
  2. Click Skip or use the menu
  3. Optionally provide a reason

Skipped sources are hidden from the main view but can be restored later.

Filtering sources

Use the filter options to focus your view:

  • By status - Show only sources at a specific stage
  • By discovery - Focus on sources from a particular discovery
  • Search - Find sources by domain or page title

Source details panel

Click any source to see detailed information:

Contact information

When a contact is found:

  • Full name
  • Job title
  • Email address
  • Seniority level (Director, Manager, etc.)
  • Company name and employee count
  • LinkedIn profile link

Discovery context

  • Which topic matched this source
  • The search query that found it

Generated emails

If emails have been generated:

  • Subject line
  • Email 1 (initial outreach)
  • Email 2 (first follow-up)
  • Email 3 (final follow-up)

Review the emails and approve for sending when ready. ConvertMate sends the full sequence on your behalf.

Pipeline metrics

The sources page shows summary metrics:

  • Total sources discovered
  • Sources with contacts found
  • Sources with emails generated
  • Sources added to campaigns
  • Conversion rate (if tracking results)

Best practices

Review sources before finding contacts - Some discovered sources may not be a good fit. Skip irrelevant ones to save time. Process in batches - Finding contacts and generating emails works well in groups of 10-20 sources. Update statuses - When you send emails or receive responses outside of ConvertMate, update the source status to keep your pipeline accurate. Archive completed opportunities - Mark sources as "Converted" when successful or "Skipped" when you decide not to pursue them.
