Upgrade, downgrade, update payment methods, and view billing history

Your plan determines which features you can access, how many credits you get monthly, and how many AI agents are available to you. You can upgrade, downgrade, update payment methods, and manage all billing from one place.

Accessing billing settings

To manage your subscription:

  1. Click Settings in the left sidebar
  2. Select Plan & billing from the menu
  3. You'll see your current plan, credit balance, and payment details

Current plan overview

The plan page shows:

Your current plan - Free, Starter, Growth, or Business Monthly credits - How many credits you get each billing cycle Available agents - Which AI agents your plan includes Next billing date - When your next payment processes Credit balance - Current credits remaining Feature comparison table - Below the available plans, you'll find a detailed comparison table showing exactly which features are available on each plan and their usage limits. This helps you understand what you'll gain by upgrading.

Upgrading your plan

You now have three ways to start an upgrade:

  • The Upgrade button in the top navigation
  • The View plans CTA in the left sidebar
  • The Upgrade plan button inside Settings → Plan & billing

All three entry points land on Plan & billing with the URL #plans anchor, auto-scroll to the plan cards, and pulse-highlight the grid for ~4 seconds so it's impossible to miss.

To move to a higher plan once you land on the grid:

  1. Click Upgrade plan next to the tier you want
  2. Compare plan features and pricing
  3. Review the new monthly cost
  4. Click Confirm upgrade

When you upgrade:

  • Changes take effect immediately
  • You get the new plan's full credit allocation right away
  • You're charged a prorated amount for the remainder of your billing cycle
  • Your next full charge is on your existing billing date

What happens after you confirm (trials vs paid upgrades)

  • Free trials now show a clear "Free trial started" confirmation modal that spells out your trial limits and credit balance. As soon as the modal appears, the credit counter in the header and the plan tile both refresh automatically—no page reload required.
  • Paid upgrades display a "Payment successful" modal with the same automatic refresh, so you can verify the new plan limits and credits before leaving the page.
  • In both cases ConvertMate refreshes your credit balance, billing history entry, and plan highlights the moment the payment or trial activation succeeds. You can dismiss the modal and keep working without doing a hard refresh.

Downgrading your plan

To move to a lower plan:

  1. Click Change plan
  2. Select a lower-tier plan
  3. Review what you'll lose access to
  4. Confirm the downgrade

When you downgrade:

  • Changes take effect at your next billing date (not immediately)
  • You keep your current plan features until then
  • No refunds for the remaining days of your current cycle
  • Your credit balance adjusts to the new plan's allocation at renewal

Live preview of what you'll lose

  • The downgrade modal now shows an amber warning box that counts how many workflows, agents, and automations will pause when the downgrade completes.
  • Click Show details to expand the preview and see the exact item names. If there are more than five items in a category, you'll see an "and X more" message so nothing is hidden.
  • Scheduled downgrades also display a sticky alert on the Plan & billing page. It refreshes in real time, so if you reactivate or archive items before the cutoff, the list updates automatically.

Emails that spell out the impact

  • Immediately after you schedule a downgrade you'll get a confirmation email listing the affected items in future tense ("will be deactivated on April 10").
  • When the downgrade actually runs, another email arrives with past-tense copy ("have been deactivated") plus the exact counts per category. Subject lines now highlight how many items changed so teammates notice the impact.

What happens to your data

  • Features are soft-deactivated only. Workflows pause and agents stop running, but nothing is deleted.
  • Upgrade again at any point to restore the same workflows, agents, and settings—ConvertMate keeps everything ready to re-enable.

Canceling your subscription

To cancel:

  1. Go to Settings → Plan & billing
  2. Click Cancel subscription
  3. Choose a reason (helps us improve)
  4. Confirm cancellation

After canceling:

  • You keep access until the end of your current billing period
  • No further charges after that
  • Your account converts to the Free plan
  • Your data and settings are preserved (not deleted)
  • You can reactivate anytime
  • Just like downgrades, cancellation emails now list the exact workflows and agents that will pause so you can double-check before your access ends.

Updating payment methods

To change your payment method:

  1. Scroll to the Payment method section
  2. Click Update payment method
  3. Enter new card details or select a saved card
  4. Click Save

ConvertMate accepts:

  • Credit cards (Visa, Mastercard, American Express)
  • Debit cards
  • Some regional payment methods depending on your location

We use Stripe for secure payment processing. Your card details are never stored on ConvertMate servers.

Billing history timeline

The Billing history card is now a chronological timeline that lists every billing event ConvertMate logs – plan upgrades, trial activations, credit-pack purchases, downgrades, scheduled cancellations, and failed retries. Each row pulls from the new BillingEvent log so what you see exactly matches what support sees.

What each row shows

  • Status badge (Paid, Pending, Scheduled, Failed, Refunded) with a colored dot so you can scan the timeline quickly.
  • Event type (Upgrade, Trial started, Credit package, Cancellation scheduled, Payment failed, etc.).
  • Performer – the teammate, automation, or system that triggered the change so you always know who acted.
  • SourceUI, Stripe, or API so you can tell whether the event originated in-app or through billing.
  • Timestamp in your workspace timezone.

Viewing details or invoices

  1. Go to Settings → Plan & billing.
  2. Scroll to Billing history (right below the plan cards).
  3. Click any event to open the slide-out with line items, invoice links (when applicable), and Stripe payment IDs.
  4. Use Download invoice (PDF) for accounting or Copy event ID if you need to share it with support.

You can filter the timeline by event type or status when you only need to see payments vs. plan changes. Every event also links to the Billing Events API if your team exports data to your own warehouse.

Purchasing credit packages

If you need more credits before your monthly renewal:

  1. Scroll to Purchase credits
  2. Choose a package size:

- 100 credits for $15 - 500 credits for $60 (20% savings) - 1,500 credits for $180 (20% savings) - 5,000 credits for $600 (20% savings)

  1. Click Buy credits
  2. Confirm the purchase

Credit packages:

  • Are charged immediately
  • Don't expire for 12 months
  • Stack if you buy multiple packages
  • Work alongside your monthly plan credits
  • Credit balances refresh automatically after a successful purchase, so you can keep working without reloading the page. The success modal closes once the top-right counter reflects the new total.

Failed payments

If Stripe can't collect your subscription charge, ConvertMate now runs a structured three-step reminder sequence while keeping your workspace active for seven days:

  1. Day 0 – immediate alert. The moment Stripe reports a failure, we email the billing owner with the error message and a direct link to update the card.
  2. Day 3 – friendly reminder. A second email summarises the outstanding balance and highlights which features will pause if no action is taken.
  3. Day 7 – last call. A final "last call" email goes out before the account downgrades. It includes the exact cutoff timestamp so there are no surprises.

Each touchpoint is logged in the Billing history timeline with the same status codes our support team sees, so you always know which step ran last. Update your payment method from any email or from Settings → Plan & billing to immediately re-run the charge and clear the incident log.

If payment still fails after the Day-7 message, the workspace automatically moves to the Free plan and queued automations pause. Reactivating is as simple as updating the card—ConvertMate will retry instantly and restore your previous tier once Stripe confirms the charge.

Common reasons for failed payments:

  • Insufficient funds
  • Expired or replaced card
  • Bank blocking the charge (fraud protection)
  • Incorrect billing address

Stripe sync + reliability improvements

Stripe can occasionally retry events or delay a webhook. ConvertMate now hardens billing data on three fronts:

  • Always-on webhook listener with idempotency. Incoming billing events are deduplicated for 30 days so duplicate deliveries are acknowledged without double-charging you.
  • Daily subscription reconciliation. Each morning we automatically compare every ConvertMate subscription with Stripe, cancel stale trials, and re-activate accounts that succeeded overnight.
  • Automated payment-failure catch-up. If Stripe briefly misses a notification, a recovery service replays the reminder sequence in order so customers who were offline still receive every touchpoint.

Support can confirm the latest sync status for you if Stripe ever feels out of sync with ConvertMate—no manual commands are required on your side.

Billing cycles and dates

Your billing date is set when you first subscribe:

  • If you subscribed on Jan 15, you're billed on the 15th of each month
  • Credits renew on your billing date
  • Unused credits don't carry over

Refunds

Refund policy:

  • Subscription charges are generally not refundable
  • Credit packages can be refunded within 7 days if unused
  • Enterprise plans have custom terms
  • Contact support@convertmate.io to request a refund

Credits used by agents are not refundable, but failed executions automatically refund credits.

Enterprise billing

Enterprise plans have custom billing:

  • Annual contracts available with discounts
  • Custom payment terms (NET 30, NET 60)
  • Purchase orders accepted
  • Invoice billing instead of credit card

Tax and compliance

Sales tax - Applied based on your billing address where required by law. VAT - EU customers can provide VAT number for B2B transactions. Receipts - Available for all charges in your billing history. PCI compliance - All payments processed through Stripe (PCI DSS Level 1 certified).
